Activating Office: installation and activation with a product key

If you use Office Professional Plus or Standard as a one-off purchase, you need to unlock the suite once with the 25-character product key. This guide shows you how to activate Office: from preparation, installation and entering the key through to online or telephone activation. At the end you will find solutions to the most common errors.

Before you start: what you need

After your purchase from Keychannel, you will receive an email with three components: the 25-character product key, the download links for the setup and instructions. Keep this email to hand. You also need administrator rights on the PC and an internet connection for the download and activation.

Remove older Office versions completely

The most important step happens before installation. If other Office versions are still on the PC, installation errors often occur, or Office later asks you to sign in instead of entering a key. This also applies to preinstalled trial versions of Microsoft 365 that come with many new laptops.

1. Open Settings, then Apps and Installed apps.
2. Search for "Office" and "Microsoft 365".
3. Uninstall all entries, including language packs from older versions.
4. Then restart the PC.

If remnants cannot be removed, Microsoft offers its own uninstall tool. It is linked on the page Uninstall Office from a PC. Your documents are kept when you uninstall.

64-bit or 32-bit?

On current PCs with 64-bit Windows, the 64-bit version of Office is the right choice. It can use more memory and copes better with large Excel spreadsheets. You only need the 32-bit version if an older add-in or industry software explicitly depends on it.

Important: 32-bit and 64-bit versions of Office products cannot be mixed on one PC. If you also install Project or Visio, choose the same variant as for Office.

Step 1: Download and install the setup

The setup downloads the program files during installation. How long it takes therefore depends mainly on your internet connection.

1. Open your delivery email and click the download link for the 64-bit version.
2. Double-click the downloaded setup file to start it.
3. Confirm the User Account Control prompt with "Yes".
4. Wait until the installation is complete and close the window.

The setup installs all the programs that belong to your edition. For Office 2024 Standard these are Word, Excel, PowerPoint, Outlook and OneNote, and Professional Plus also includes Access. Our comparison Office Professional Plus or Standard shows which edition includes which programs.

Step 2: Enter the product key

After installation, Office asks for the key when you first start a program. Proceed as follows:

1. Start Word, Excel or another Office program.
2. The window for entering the product key appears.
3. Enter the 25-character key from your email. Office adds the hyphens itself.
4. Confirm with "Continue" or "Install".

The most reliable method is to copy the key from the email and paste it. When typing it in, it is easy to mix up characters such as B and 8.

If no key prompt appears

If a window asking you to sign in with a Microsoft account opens instead, close it. Office Professional Plus and Standard do not require you to sign in to an account. Enter the key manually instead:

1. In the open program, click File and then Account.
2. Select Change Product Key.
3. Enter the key and confirm.

Step 3: Activate Office online

After you enter the key, the Office Activation Wizard starts. Select the option "I want to activate the software over the Internet" and click "Next". Office sends the key to Microsoft and confirms the activation shortly afterwards.

Then close all Office programs and open one again. The activation applies to all programs in the suite, so you only need to do it once.

Activating Office by telephone

Sometimes online activation rejects a valid key, for example after a reinstallation or a hardware change. In this case, the Activation Wizard offers activation by telephone. Office generates an installation ID, for which you enter a matching confirmation ID.

1. Open the Activation Wizard again, for example via File, Account and Activate Product.
2. Select "I want to activate the software by telephone" and your country.
3. Office displays an installation ID made up of several blocks. Leave the window open.
4. Go to the Keychannel activation portal, select Office and enter the installation ID.
5. Enter the confirmation ID shown, block by block, into the fields of the wizard.
6. Click "Next". Office reports that activation was successful.

Alternatively, you can use the telephone number shown by the wizard. If neither route works, contact Keychannel support. Please state your order number and any error message.

Checking the activation status

You can see whether Office is activated under File and Account. Under "Product Information" it will then say "Product Activated" together with the name of your edition. If activation is missing, Office shows the notice "Unlicensed Product" in the title bar.

For advanced users: status via the command prompt

Microsoft ships Office with the script ospp.vbs, which displays the licence status. Open the command prompt as administrator and change to the Office folder:

cd "C:\Program Files\Microsoft Office\Office16"

cscript ospp.vbs /dstatus

The output shows the installed licence, the last five characters of the key and the status. "LICENSED" means that Office is activated. If the file is not in this folder, check C:\Program Files\Microsoft Office\root\Office16 or, for 32-bit Office, the corresponding folder under C:\Program Files (x86). The folder name Office16 applies to all versions from 2016 to 2024.

Common problems and solutions

Most activation problems have a few causes that are easy to fix. The table helps you narrow them down.

Key and version must match

A key for Office 2021 does not work with Office 2024 and vice versa. The same applies to the edition: a Standard key does not activate a Professional Plus installation. Therefore always use the setup from your delivery email, so that the program and key match.

No unofficial activation tools

There are programs circulating online that claim to unlock Office without a valid key. We strongly advise against them: they breach the licence terms, often contain malware, and the activation can be lost again at any time.

Activating Project and Visio

You install and activate Microsoft Project and Visio exactly like Office: start the setup from the email, enter the key, activate online or by telephone. Make sure you choose the same bit version as for Office. Project or Visio should also match the version generation of your Office so that the installations do not interfere with each other.
