Buying Microsoft Visio: Standard or Professional, purchased licence or subscription

If you want to buy Microsoft Visio, you need to answer two questions: is Visio Standard enough or do you need Professional? And is a purchased licence a better fit than a subscription? What is Microsoft Visio?

Visio is Microsoft's diagramming program. You drag ready-made shapes from stencils onto the drawing page and link them with connectors. If you move a shape, the connections are retained. This lets you create flowcharts, organisation charts, process flows, network diagrams or floor plans much faster and more neatly than in PowerPoint or Word.

Typical users are IT departments, quality and process managers, engineers, facility management and anyone who needs to document processes clearly. You save diagrams in VSDX format, export them as PDFs or images, or insert them into Word, PowerPoint and Excel.

Important for your buying decision: Visio is a standalone product. It is not part of any one-off purchase version of Office, not even Office Professional Plus. In addition, the desktop version is only available for Windows, not for macOS.

Visio Standard or Professional: the differences

Both editions have the same interface and the same file format. Diagrams can therefore be exchanged between Standard and Professional. The difference lies in the range of templates and in the data features.

Who is Visio Standard enough for?

Standard is the right choice if you mainly depict processes, responsibilities and structures: flowcharts for work instructions, organisation charts, simple office and room plans, brainstorming sketches or timelines. For many offices, associations and smaller businesses, that is entirely sufficient.

When is Visio Professional worthwhile?

You need Professional as soon as diagrams have to follow a technical standard or work with data. This applies, for example, to IT administrators documenting server rooms and networks, software developers with UML and database models, process managers using BPMN and engineers with electrical or piping diagrams. Extended floor plans for building services and business analysis templates such as value stream maps are also reserved for Professional.

Data linking is particularly useful: you connect shapes to an Excel spreadsheet, a SQL Server database or a SharePoint list. Visio displays the values as data graphics, for example as an icon, colour or bar, and updates them automatically if you wish. A network diagram can then, for example, show the status of each device directly in the diagram.

Visio 2016, 2019, 2021 or 2024: versions and support

One-off purchase versions of Visio have a fixed lifecycle. After the end of support, the program keeps running, but Microsoft no longer provides security updates. This is particularly relevant if you open files from external sources.

For a new purchase, Visio 2024 is the obvious choice, because only this version will receive updates for several more years. Older versions are worth considering if you need to use exactly the same version as your team or if a computer works without an internet connection. Visio 2024 brings, among other things, new icons, sticky notes for brainstorming and infographic elements, plus new Azure stencils in the Professional edition. The VSDX format is the same in all the versions mentioned, so you can exchange files between them.

Buying or subscribing to Visio: purchased licence vs Visio Plan 1 and 2

In addition to the one-off purchase version, Microsoft offers Visio as a subscription. The models differ mainly in whether you work with the desktop app or in the browser.

A subscription is particularly worthwhile for teams that collaborate on diagrams in the browser, work on different devices or already manage licences centrally through Microsoft 365. If you draw on a fixed computer and want to use Visio without recurring fees, the purchased licence is the better option. You pay once and use Visio on one PC without any time limit. No new features are added, but you do receive security updates until the end of support.

Which Visio edition suits you?

• Occasional diagrams, organisation charts, processes: Visio Standard 2024.
• IT documentation, networks, software, BPMN, engineering: Visio Professional 2024.
• Diagrams with values from Excel or databases: Visio Professional 2024.
• Exchanging files with an existing environment: the same version as your team, provided the remaining support period is sufficient.
