Project or Visio: which program for which task?

Project or Visio? Both programs come from Microsoft, both produce graphics with bars, arrows and boxes, and both are often mentioned in the same breath. Nevertheless, they solve quite different tasks. Here you will find out which program you need for what, where the limits lie and when combining them is worthwhile.

The basic principle: calculating or drawing

The most important difference can be summed up in one sentence: Project calculates, Visio draws. In Project you enter tasks, durations and dependencies, and the program works out the schedule from them. If a duration changes, all dependent dates shift automatically.

In Visio you place shapes on a drawing page and connect them. The program knows what the shapes mean, but it does not calculate dates. A bar in a Visio schedule is a graphic, not a task with a duration and a predecessor.

What Microsoft Project can do

Project is built for planning and managing undertakings with many work steps. Typical features include:

• Gantt charts that build themselves automatically from the tasks you enter
• Dependencies between tasks and calculation of the critical path
• Resources with working times, holidays and cost rates
• Baselines for comparing planned and actual progress
• Reports on progress, costs and workload
• Timelines for compact presentation in slide decks

What Microsoft Visio can do

Visio is designed for anything that can be presented as a diagram. This includes:

• Flowcharts for workflows and decision paths
• Organisation charts, generated from a staff list if you wish
• Network and server diagrams for IT documentation
• Floor plans and room layouts for offices, warehouses or events
• Mind maps, timelines and simple Gantt charts
• In the Professional edition, also BPMN, UML, engineering diagrams and data linking

Project and Visio side by side

Beware of the term "network diagram"

The same term means different things. In project management, a network diagram shows tasks and their dependencies. In Project, this view is called the Network Diagram and is generated from the project data. In IT, on the other hand, a network diagram shows routers, servers and cable routes. For that, Visio is the right tool.

Practical examples: which program for what?

Planning a construction project or office move: Project

Trades build on one another, delivery dates shift, and teams are only available at certain times. Project calculates how a delay affects the completion date and shows which tasks lie on the critical path.

Documenting processes for quality management: Visio

For procedures or a quality manual, you need clear process diagrams showing responsibilities. Visio offers templates for this, such as the cross-functional flowchart with swimlanes for each department.

Creating an organisation chart: Visio

If you wish, Visio generates organisation charts from an Excel list of names and managers. If the structure changes, you adjust the list and refresh the diagram.

Organising an event: Project, supplemented by Visio

You manage the schedule with deadlines for invitations, catering and technical equipment in Project. You draw the hall layout with stage, seating and escape routes in Visio.

IT rollout: both programs

The rollout with its test phase, training and changeover belongs in Project. You document the target architecture with servers, network and interfaces in Visio.

Combining both programs

In many companies, Project and Visio are used side by side. Project provides the binding schedule, Visio the overview of processes, structures and systems. The timeline from Project can be copied and pasted into presentations or documents, and you can embed Visio diagrams in project documents as images or PDFs.

Both programs can be installed on the same PC. Make sure that Project, Visio and any existing Office use the same bit version; 64-bit is recommended. Installation and activation work for both as they do for Office: the product key arrives by email together with download links and instructions, and activation takes place in the program under File → Account.

Neither Project nor Visio is part of Office

A common misconception: even Office Professional Plus includes neither Project nor Visio. Both programs are licensed separately and are only available for Windows. Help with deciding

• You need to keep dates, dependencies and workload under control: Project.
• You want to present processes, structures or spaces clearly: Visio.
• You only occasionally need a simple timeline: Visio is enough.
• You manage projects and also document processes or systems: both programs.

For individual planners, the Standard edition in version 2024 is sufficient in each case. Professional is worthwhile for Project if you work in a team with a server, and for Visio if you need specialist diagrams and data linking.
